Dear Speakers at the 5th POLISH ITS CONGRESS,
Below please find the rules for preparing and submitting your speeches and presentations.
If your company is not a sponsor of the Polish ITS Congress in 2012 and if your abstract has been accepted, you are required to pay a fee for entering a speech to be given during the Congress. Please read the terms and conditions of entering presentations for inclusion on the agenda. We also encourage you to learn more about the sponsorship opportunities during the Congress. For details, see the Sponsorship section on the www.pkits.pl website.
DEADLINES FOR SPEAKERS
Deadline for submitting abstracts: 12 February 2012
Information on the acceptance of abstracts: 19 March 2012
Deadline for submitting biographies with hotos/logotypes: 16 April 2012
Deadline for submitting speech texts: 30 April 2012
Deadline for submitting extended abstracts: 30 April 2012
Deadline for submitting presentations: 14 May 2012

SUBMISSION OF ABSTRACTS
If you are interested in taking part in the Congress as a speaker, you must send an abstract of your speech, clearly indicating the topic you wish to talk about and describing its relevance to the theme of the Congress.
• Preparing your abstract
Your abstract should be prepared in two language versions: Polish and English, and should contain not more than 1300 characters (including spaces between words).
Your abstract must be accompanied by your statement that:
- the text of your speech has not been published before and that it has been approved by all the co-authors, if any;
- you and the other co-authors, if any, assign, without consideration, any and all copyright on the materials sent to us to the extent of their publication and distribution.
Abstracts should be submitted by electronic mail at kongres@itspolska.pl by 12 February 2012.
• Accepting your abstract
All abstracts will be evaluated by the Congress Programme Council (for the names of the members of the Council, visit www.pkits.pl). In evaluating the abstracts, the criteria will include innovation of presentation, currency, and relevance to the theme of the Congress. Abstracts will be accepted or rejected based on the opinions of 3 reviewers.
We will let you know that your abstract has been accepted by 19 March 2012
If your abstract is accepted, you will receive
- your reviewers’ comments and suggestions for taking the comments into account in preparing the full version of your speech, and
- instructions for preparing and presenting your speech (a presentation form).
• If your abstract is not accepted...
If the abstract of your speech is not accepted, we will let you know our decision, but you will not receive any comments.
Once we let you know that your abstract has been accepted by the Congress Programme Council, you will be required to prepare and submit the following:
- an extended version of your abstract,
- a brief biography of yourself, including a photograph of you/a logotype,
- your speech,
- your presentation.
Note! Remember to include your reviewers’ comments in the extended version of your abstract, in the text of your speech and in the presentation.
SUBMISSION OF EXTENDED ABSTRACTS AND BIOGRAPHIES
• Preparing an extended abstract (for interested speakers)
We would like to invite all speakers to prepare and deliver on website www.przeglad-its.pl an extended version of his/her speech. Your extended abstract should be in Polish and should contain up to 6200 characters (including spaces between words) and in English (up to 500 characters, including spaces).
Extended abstracts should be submitted by electronic mail at kongres@itspolska.pl. by 30 April 2012.
• Preparing a brief biography of yourself, with a photograph of you/a logotype
Each speaker must provide a brief biography of himself/herself (up to 250 characters, including spaces between words), plus a photograph of himself/herself and/or a logotype, for posting on www.pkits.pl in the Speakers section and for inclusion in the congress materials (a special issue of the magazine PrzeglÄ…d ITS will be published).
Biographies and the photo/logotype files should be submitted by electronic mail at biuro@pkits.pl by 9 April 2012.
SUBMISSION OF SPEECH TEXTS AND PRESENTATIONS
• Preparing the text of your speech
We would like all the speech texts to be provided in the same form, therefore we would appreciate if speakers could use the attached speech editing form. Please note that the text of your speech should not be longer than 10 pages in total and the number of pages should be even (i.e. 6,8 or 10 pages, in accordance with the attached form). If you wish to include colour figures, please contact the organiser first. We would like to post the texts of all the speeches on the Congress website at www.pkits.pl.
The texts of speeches should be submitted by electronic mail at kongres@itspolska.pl by 30 April 2012.
• Preparing your presentation
We would like all the presentations to be provided in the same form, therefore we would appreciate if speakers could use the attached presentation slide form. Please note that your presentation should not be longer than approx. 15 minutes. The moderator of each presentation session will be required to ensure that the above time limit is not exceeded. We would like to publish all presentations in closed PDF files on the www.pkits.pl website.
Presentations should be submitted by electronic mail at biuro@pkits.pl by 14 May 2012.
